Your clients already get an appointment email from your EHR — Jane, Owl, or whatever you use to schedule and send reminders. The cleanest way to get them into a Rivet session is to put your Rivet waiting room link inside that email, so they never see two links and never have to guess which one to click. There’s a little more to it than pasting a link in one box, because Jane and Owl each bundle their own video and will add their link to the appointment email unless you tell them not to. So the setup is two moves: turn off the EHR’s built-in video for these appointments, and put your Rivet link where the EHR puts the appointment details. Do it once and every future booking carries it. Your Rivet waiting room link is the same every session — it’s your Rivet URL (getrivet.ca/your-name). You set this up once in the EHR; you don’t touch it again.

In Jane

1

Make these appointments a non-video type

Jane only adds its own video link when the appointment’s treatment is set up as a Telehealth (1:1) treatment. Under Settings → Treatments, Classes & Group Appointments, use a regular (non- telehealth) treatment for your Rivet sessions — or add one just for them. With Jane’s video off, there’s no competing link.
2

Add your Rivet link to the appointment email

On that treatment, open the Booking Information (After Booking) field and paste your Rivet URL with a short instruction — for example: “Join your session here: getrivet.ca/your-name — please join on a computer, and keep your phone nearby.” This text goes into both the booking confirmation and the reminder email.
3

Give the appointment a home (optional but tidy)

Under Settings → Locations you can add a location like “Online (Rivet)”. Jane shows a location’s name and description in the appointment email, so this is a second, tidy place your link and instructions can live — and it keeps these sessions clearly labelled on your schedule.
4

Check your reminders are on

Under Settings → Reminders & Notifications, make sure the confirmation and the reminder email are turned on so the link actually goes out (Jane sends the reminder about 30 minutes before). You can adjust the wording under Settings → Language.

In Owl

1

Turn off Owl's video for the service

Under Settings → Services & Fees, open the service you use for Rivet sessions and set Bookable As Video to Not a Video Session. That stops Owl from attaching its own video link.
2

Put your Rivet link in the reminder and confirmation

Under Settings → Notifications → Reminders, write your reminder email body with your Rivet link in it — for example: “Join your session here: getrivet.ca/your-name — please join on a computer, and keep your phone nearby.” Turn on Appointment Confirmations too, so the link also goes out the moment a session is booked, not only at reminder time.
3

Turn reminders on for each client

On the client’s record, under Contact & Clinical → Contact Details → Edit, add their email and set the Email Reminders timing. That’s what sends them the email with your link.

Send yourself a test booking

This is the step that confirms it worked, whichever EHR you use. Book a session to yourself, then open the email your client would get. You’re checking for two things:
  • Your Rivet link is there, and
  • Your EHR’s own video link is not — just the one link, yours.
If you see two links, the EHR’s video is still on for that appointment type; go back and switch it off. If the email looks right, you’re done — every future booking will carry it.

Tell your clients where to join

Because a Rivet session works best on a bigger screen — and the EMDR tactile taps land on their phone — the one thing worth adding to your link is: join on a computer, and keep your phone nearby. That’s the whole instruction. No account, no download; they click your link and land in your waiting room.
